We are seeking a talented individual to join our Executive Administration team team at Marsh.

The Executive Office Coordinator will play a critical role in supporting the day-to-day operations of the Office of the CEO at Marsh. While the core focus of the role is administrative, the position offers unique exposure to senior leadership, high-level operations, and strategic initiatives across the firm, with an opportunity for growth in responsibilities and project ownership over time.

 

This role is ideal for a highly organized and detail-oriented individual who handles confidential information with discretion and operates with both professionalism and polish. The Coordinator will be mentored by the Executive Office Administrator, with support and direction from the Chief of Staff. The role is in-person in our NYC office. The hours of the role are the hours of the CEO.

We will count on you to:

 

Provide Administrative Support for the CEO

  • Manage the CEO’s daily calendar, including scheduling meetings, managing conflicts, and anticipating changes

  • Serve as the first point of contact for scheduling-related inquiries and meeting logistics

  • Organize briefing materials for meetings in coordination with the Executive Office Administrator

  • Act as a point of coordination between the CEO’s office and internal/external stakeholders

 

Facilitate Travel and Events

  • Coordinate domestic and international travel for the CEO, in coordination with the Executive Office Administrator, including the preparation of detailed itineraries

  • Support Executive Office team on CEO’s event coordination and preparation

 

Drive Operational Support

  • Maintain and update internal documents to support office workflows

  • Monitor and organize incoming meeting invitations, prep materials, and logistics requests

  • Support Executive Office team with ad-hoc tasks

 

Collaboration

  • Work closely with Executive Office Administrator to ensure seamless execution of the CEO’s schedule, commitments, and projects

 

What you need to have: 

  • Experience in executive-level support, operations, or coordination

  • Ability to manage complex calendars and travel arrangements with precision

  • Exceptional organizational skills and attention to detail

  • High degree of discretion and professionalism

  • High degree of emotional intelligence

  • Ability to build trust and work effectively with senior stakeholders

  • Strong written and verbal communication

  • Proficiency in Microsoft Office suite

  • Proactive mindset, with the ability to anticipate needs and solve problems before they arise

The applicable base salary range for this role is $120,000 to $145,000.

 

The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
